### How can I generate a patient letter with Autoscriber?

With Autoscriber, it is possible to generate not only a summary for your own specialty but also a summary for the patient.

Based on the transcript of the consultation, Autoscriber creates a summary in simplified Dutch or English. Just like the summary for your specialty, this summary can be copied and pasted to a destination of your choice. For instance, you can paste the text into a Word document, print it, and hand it to the patient.

To generate a patient letter, follow these steps: Nothing has changed in the configuration for recording the consultation;

1. You can start Autoscriber and the consultation as you normally would
2. Once the recording is complete and the summary has been generated, you will find the additional option 'Generate patient letter' next to the 'Copy' button:

::Image[]{src="https://images.archbee.com/7QOEo81-ylzb8idBCmsHa/WDjp6e4Fzowy8CGQpqcX0_image.png?format=webp" size="52" width="594" height="268" position="center" showCaption="false" indent="2"}

3. When you select the 'Generate patient letter' option, you can choose to generate the letter in simplified English or Dutch.
4. The patient letter will now be generated. You can then copy the text of the letter to your clipboard and paste it to a destination of your choice.

### How can I use Autoscriber with multiple speakers (Heteroanamnesis)?

Autoscriber is primarily designed to summarise a dialogue between healthcare provider and patient. In some cases, there may also be a family member or caregiver present during the consultation. Because our application is not specifically equipped for this, the quality of summaries in such consultations can vary. If you still wish to use Autoscriber for such conversations, we recommend keeping the following points in mind.

- Instruct the speakers not to talk over each other
- Clearly name who is participating in the conversation and what role they have when starting the recording.

We advise against using Autoscriber in a consultation with four or more speakers, as the quality of the generated summary will often be insufficient.

### Using Autoscriber when a dialect is spoken

Autoscriber is developed to summarise conversations where there is little to no use of dialect. The heavier the use of dialect, the more it affects the quality of the summary. If you notice a strong dialect but still want to use Autoscriber, we recommend repeating important remarks from the patient in the spoken language.

### Can I use Autoscriber during video calls?

It is possible to use Autoscriber during a video consultation. We advise running both the video consultation and Autoscriber on the same device.

**Note:** it is important that you have two different microphones: preferably an external and an internal microphone. Using only one microphone will result in *no summary* being generated by Autoscriber.

We recommend following the setup below as closely as possible;

1. Connect an external microphone to your laptop, PC, or tablet (preferably a headset/earbuds)
2. Start the video call on your laptop, PC, or tablet, selecting the external microphone:

::Image[]{src="https://d33v4339jhl8k0.cloudfront.net/docs/assets/65980692ca9db2764426fd7e/images/669e255eee46f05d48ed04c7/file-WCBhZQKvlT.png" size="100" width="795" height="452" isUploading="false" showCaption="false" indent="2"}

3. Start Autoscriber on your laptop, PC, or tablet, selecting the internal microphone:

### What is the minimum and maximum length conversations I can have using Autoscriber?

Autoscriber is developed to summarise both check-up and intake conversations. There are minimum and maximum durations for Autoscriber to summarise a consultation.

**Check-up conversations - minimum conversation length**

Please note that for monitoring conversations, a minimum of 2 minutes of spoken dialogue is required to achieve an accurate summary. If the conversation is shorter than two minutes or if there is little to no dialogue during these 2 minutes (for example, if reading is taking place), inaccuracies may arise in the summary.

**Intake conversations - Minimum conversation length**

If a conversation takes longer than 75 minutes, the chance increases that Autoscriber will not be able to summarise the conversation correctly, as the amount of data to summarize is simply too large. In some cases, the regenerate action can be attempted again to generate a summary. If the conversation is much longer than 75 minutes, the likelihood of a successful regeneration will decrease.

### Using Autoscriber when English is spoken poorly

The proficiency in the English language can vary from patient to patient.

In most cases, however, this has no impact on the quality of the summary generated by Autoscriber. The reason for this is that Autoscriber does not make a literal summary based on the transcript taken from the conversation.

The transcript will often reflect the linguistic errors/shortcomings of a patient, but because the summary is an interpretation of this transcript, the summary will be composed in complete and correct English.

**Note:** when the patient uses important words incorrectly (for example, saying 'fallen' instead of 'bumped'), we recommend that the healthcare provider repeats the correct word for the situation aloud. Incorrect words can indeed appear in the transcript and thus influence the resulting summary.

### How do I generating a note in a language that is different from the conversation language?

It is possible to use Autoscriber to translate the consultation into a note in another language.

For example, when a consultation takes place in Dutch, but you would like to leave an English note.

Note: Autoscriber currently supports only a few languages. For the translation function, both the spoken language and the language in which the consultation needs to be summarized must be available within Autoscriber.

To generate a summary in a different language than the spoken consultation, proceed as follows;

- Select the language in which the conversation takes place;

::Image[]{src="https://d33v4339jhl8k0.cloudfront.net/docs/assets/65980692ca9db2764426fd7e/images/669e3c3b5beb1700e035e3bb/file-GMvy5tO6Nh.png" size="54" width="310" height="293" position="center" showCaption="false" indent="2"}

- Select the language in which the summary should be written;

### How can I use Autoscriber during phone conversations?

It is possible to use Autoscriber during a phone consultation. We recommend following the setup below as much as possible;

1. Open Autoscriber on your Computer, Laptop, or Tablet
2. Conduct the consultation using your phone, set it to speaker mode with a high volume
3. Place your phone close (max 50cm away) to the device running Autoscriber

Tip: by connecting your phone to a (bluetooth) speaker, the sound quality can be improved, which can lead to an even better result in the summary via Autoscriber.

**Important**: prevent the phone call and Autoscriber from being active on the same device; as both applications give different commands to the same device, in many cases a summary cannot be generated.

:::

### Can I also use Autoscriber on my mobile?

Yes, that is indeed feasible. Autoscriber is fully compatible with mobile devices. To utilize Autoscriber on your Android or Apple device, there is no need to download an application. Simply open your preferred browser (we recommend Chrome) and navigate to: [https://app.autoscriber.com](https://app.autoscriber.com). After logging in, we advise you to conduct a microphone test. If the test is successful, you are ready to begin recording conversations.

**Heteto anamnesis:**

For a hereditary anamnesis, Autoscriber can be used in some cases. Importantly,

- there are no more than three people present at the conversation
- Only one of the attendees is a doctor
- The people take turns and do not talk over each other

**Telephone and video consultations using a headset**

Autoscriber does not yet support telephone and video consultations using a headset. We are developing support for consultations using a headset. This will need to be developed for each application. The first applications that will support a headset consultation will be Microsoft Teams.

### I selected the wrong note template when starting my recording, what should I do?

After the recording is complete, you can retroactively generate the transcript using a different note template. This can be done immediately after the recording, or you can select previous recordings and generate a new note based on them. Previously generated templates will not be lost. The new note will be added to the recording as an additional tab.

| Firefox | Not compatible - microphone is often not allowed |

**Hardware requirements**

Our application is completely cloud-based. Data storage, backups, infrastructure management, updates and security therefore do not have to be realized locally. The only hardware required locally is a microphone.

This must meet the following requirements:

- wide frequency range (20 Hz to 20 kHz)
- SNR (Sensitivity and Signal to Noise Ratio) of at least 60 dB
- sampling rate 44.1 kHz
- bit depth of at least 16 bits

Built-in microphones in recent versions from Apple, Lenovo or HP usually meet these requirements.

Some suggestions:

### Internet connection

****
Our web application works via both a WiFi connection and a wired connection. Please observe the following requirements**; **

- Upload:

*Because the application records audio and temporarily uploads it to a server, a minimum upload speed of 1-2 Mbps is required *

- Download:
  *For a responsive user experience during the transcription and summarization process, a download speed of 10 Mbps or higher is ideal *
- Latency:
  *To reduce the processing time of the audio transmission process, the latency ideally remains below 100 ms (common with a stable broadband connection)*

Autoscriber uses the common HTTP and HTTPS ports (80/443*).*

### Citrix

**
In order for Autoscriber to function smoothly within a Citrix-based infrastructure, certain configurations and system requirements must be observed. Below are the key considerations for the Citrix administrator:

- **Microphone redirection**: Ensure that microphone redirection is configured in Citrix Studio so that users can access their local microphone within the Citrix session.
- **Web browser support**: Check that the web browser you are using is compatible with Autoscriber.
- **Network requirements**: Guarantee a stable one internet connection (minimum 2 Mbps per user) to enable simultaneous audio recording and transcription without delay.
- **Sound configurations**: Verify that the virtual machine has the correct sound drivers and that the microphone settings are configured correctly via the Citrix Workspace App.
- **Problem solving**: Test the application extensively and check the logged files for problems with the audio input.

# Account security

**Add users**

User accounts are created based on email addresses. An email address can have only one user account under only one organization. If a new user is added, they will receive an email to activate their account. The activation link in the email must be used for this. This activation link is valid for 48 hours.

User accounts are always doubly secured. On the one hand with password protection, on the other hand with Two-Factor Authentication.

**Password protection**

A user must protect the account with a password that;

- Contains at least 8 characters
- Contains at least 1 symbol

Every 90 days a user must renew his password to maintain access to the application.

### Two-Factor Authentication (2FA)

In addition to password protection, all accounts are equipped with Two-Factor Authentication. Using an Authenticator app or phone number, users can access their account. A user can choose to enter the 2FA code always or once every 14 days.

Autoscriber uses Keycloak services to secure user accounts.

# Data Flow

Below is a schematic representation of the data flows that are started when using Autoscriber. This flow includes several key stages: first the audio is captured, then transcribed in real time, and then a medical note is generated from the transcription. The workflow ensures secure processing of all data by using GDPR-compliant cloud infrastructure. Below is a detailed explanation of each stage in the data flow. First as a flowchart, then in text form.

**Recording phase**

- **Start recording**
  The process begins when the user starts a recording.
- **Send audio stream**
  The WebApp opens a web socket connection and starts sending chunked audio (encoded as base64) to the API. The API forwards this audio to the SpeechToText service for transcription.
- **Transcription**
  The SpeechToText service receives the audio pieces and converts them to text, after real-time transcriptions are sent to the API. The API returns these transcriptions to the WebApp, making them accessible to the user in real time.
- **End of stream**
  When the recording ends, the user sets the WebApp, which then sends the end of the audio stream to the API.
  The API sends the full, final transcript to the WebApp and stores it in the database, ensuring data integrity and retrieval.

### Note generation phase

- **Requesting a medical note**
  After receiving the full transcript, the WebApp sends a request to the AI module to generate a structured medical note based on the transcript.
- **Generating and sending the medical note**
  The AI processes the transcript and creates a detailed medical note, which is sent back to the API.
  The API then forwards the formatted note to the WebApp for display to the user.
- **Storing Data**
  The database securely stores the transcript, the generated medical note and any associated metadata. Unless the integrated version is used, the transcript and generated medical note is not saved by default.

# Infrastructure, security and privacy

### Infrastructure

The workflow is hosted on GDPR compliant Azure EU and GCP Europe infrastructure. Public data transmissions are encrypted, while private connections are used for inter-service communications to improve security.

- 149.72.123.24
- 149.72.154.232
- 159.183.224.105
- 193.177.232.188
- 176.67.80.118

- io.autoscriber.com
- app.autoscriber.com
- embedded.prod.autoscriber.com
- identity.prod.autoscriber.com

### Relevant regulations

Autoscriber is fully GDPR compliant, and our processes have been audited by our legal advisors. In concrete terms this means:

- We require our customers to request explicit permission from each patient to record and process their data.
- All data is stored in data centers within the EU.
- Data is only stored for as long as necessary.
- There is a data retention policy in place; we may delete data at any time at the request of individual customers.

In addition, we work according to the ISO 27001 and NEN 7510 standards. That is why we apply a very strict IT security policy:

- We apply a policy of minimal access: only employees who really need access to data are given it.
- Every employee (even interns) must be able to produce a Certificate of Good Conduct (VOG) and an identity card.
- Employees work exclusively on company-managed laptops, via secure VPN connections and with privacy filters on their screens.
- We have our applications tested at least once a year.
- We regularly perform scans with a vulnerability scanner.

## New organisation:

If no one in your organisation is using Autoscriber, you must first fill in your details on our website. The first person to register on behalf of an organisation will automatically become the administrator (admin) and will determine under which conditions (free trial, Lite, or Unlimited) the main account will be activated. Test.

## Existing organisation:

If someone in your organisation is already using Autoscriber and you need to be added as a user, you can request this from the account administrator within your organisation. If you are unsure who the administrator is, you can contact support\@autoscriber.com

After registering, you will receive an email from [hello@autoscriber.com](mailto\:hello@autoscriber.com) containing an activation link. NOTE: The link in this email is only valid for 48 hours. So make sure to activate your account on time.

::Image[]{src="https://s3.amazonaws.com/helpscout.net/docs/assets/65980692ca9db2764426fd7e/images/674f1b39eb70b9232b6fdf2b/file-IN2CAJZFI1.png" size="56" width="496" height="466" position="center" showCaption="false"}

After clicking the activation link, you will be asked to set a password.

The password must;

- Contain at least 8 characters
- Contain at least 1 symbol

*Every 90 days a user must renew their password to maintain access to the application*

::Image[]{src="https://s3.amazonaws.com/helpscout.net/docs/assets/65980692ca9db2764426fd7e/images/674f1b9d5af3d1784741bb58/file-mdTpq4PVfz.png" size="48" width="570" height="619" position="center" showCaption="false"}

After the password is set, multi-factor authentication (MFA) must also be configured. The MFA serves as a double layer of account security. You can set up the MFA using an Authenticator app, or receive a temporary code via SMS each time.

::Image[]{src="https://s3.amazonaws.com/helpscout.net/docs/assets/65980692ca9db2764426fd7e/images/674f1c05721524457b2640cb/file-KB7zDxgJpa.png" size="50" width="565" height="596" position="center" showCaption="false"}

Based on your preference, one of the following next steps will be shown:

*TIP: you can check the option on this screen to enter the code every two weeks instead of at each login attempt*

## Settings and asking for permission beforehand

Before starting a recording with a patient, you have to fill in some details. These are:

- Patient's name (to easily search back this consultation later) then click 'NEXT'
- Gender (when no gender is selected, the summary will be more gender neutral)
- Spoken language in the consultation
- Which template you want to use. Autoscriber takes care of adding the most commonly used formats. If your most used format is not listed, please contact support\@autoscriber
- Whether you wish to add medical coding such as ICD-10, SNOMED-CT and soon ICPC to the summary
- You must select the microphone you wish to record with
  - Note: Make sure you test your microphone first via the ‘Test Microphone' feature. If your microphone is working you will now see a green line moving next to the 'Test Microphone' button.
- Finally, check that the patient has verbally agreed to record this conversation in Autoscriber.

::Image[]{src="https://s3.amazonaws.com/helpscout.net/docs/assets/65980692ca9db2764426fd7e/images/6749b00e2a26f61eeeb0dc4c/file-7AKQSYFj5q.png" size="90" width="836" height="225" position="center" showCaption="false"}

::Image[]{src="https://s3.amazonaws.com/helpscout.net/docs/assets/65980692ca9db2764426fd7e/images/6749b08a6267c9379f4b38e4/file-GcDU9XUVUI.png" size="82" width="687" height="653" position="center" showCaption="false"}

## Start a recording

You can now press "*Start recording"*

You will see that the conversation is being recorded by moving the sound waves on the page.

![](https://s3.amazonaws.com/helpscout.net/docs/assets/65980692ca9db2764426fd7e/images/6749b0ca9a0ff05dcf34bec2/file-xYvrtYVwuy.png)

The conversation is now being transcribed, with a slight delay of a few seconds

## Pausing and ending your recording

You can press *"Pause" *during the consultation to, for example, not include parts of a conversation in the summary or if there is actually a pause in the consultation.

When the consultation is finished, you can press *"Stop Recording”.* The last part of your conversation will then be transcribed and a summary based on your chosen template will automatically follow.

## Customising the summary

You can create another summary in a different template from the same transcript if necessary. In addition, you can modify the summary manually by deleting, adding and rewriting text. You can also easily order the rewriting of a summary via the rewrite function.

Consider:

- More or less detail
- Different writing style
- More extensive analysis
- Etc.

## Copying data

With a click on the button you can copy any data, in order to paste it quickly and conveniently into an EHR. Here you can choose ‘Summary', ‘Summary with transcript (everything)’ or just ‘Transcript’.

::Image[]{src="https://s3.amazonaws.com/helpscout.net/docs/assets/65980692ca9db2764426fd7e/images/6708d9836d43ca7b17b2bc0d/file-rlGSVZVk6T.png" size="32" width="206" height="173" position="center" showCaption="false"}

## Create a patient letter

You can start Autoscriber and the consultation as you normally would.

Once the recording is complete and the summary has been generated, you will find the additional option 'Patient Letter' under the 'Copy' button ([more information can be found here](https://support.autoscriber.com/article/194-generating-patient-letters-with-autoscriber)).

::Image[]{src="https://s3.amazonaws.com/helpscout.net/docs/assets/65980692ca9db2764426fd7e/images/6708d9836d43ca7b17b2bc0d/file-rlGSVZVk6T.png" size="36" width="206" height="173" position="center" showCaption="false"}

## Save, open and delete previous recordings

On the left side of the application, you will find all past conversations, as well as a search and delete function. You can always access old conversations and summaries and even edit them later as long as they are shown on the left side. You are also able to delete previous recordings in bulk. When deleted, the recording cannot be accessed anymore. You also cannot undo the deletion.

::Image[]{src="https://s3.amazonaws.com/helpscout.net/docs/assets/65980692ca9db2764426fd7e/images/6749c2560c86df7d2270ef0a/file-IXn7MXJOIF.png" size="38" width="284" height="788" position="center" showCaption="false"}

## During a recording

When using Autoscriber in your web browser, make sure to keep the Autoscriber tab open during a recording. This prevents the screensaver from activating and ensures the recording proceeds without interruptions.

[title] Roles within Autoscriber Standalone app
[path] User management/

There are two roles within Autoscriber Standalone; User and Admin. Every Admin is by default also a User, to make sure there's a personal Autoscriber space.

- User: has access to a personal Autoscriber space, where conversations are stored and summarized. A user can themselves create their profiles, enter their details and set all of their preferences.
- Admin: has all the functionality of the User plus the added functionality to add new Users. Read here how to add users: [Adding new users to your organisation](docId\:Ma9UMUMiVYlcuSS6JlrFT).

[title] Embedded application: interface languages
[path] Technical documentation/

Since Feb 2025 it is possible to set different interface languages for our embedded app. Currently we support:

- English
- Dutch
- German

::Image[]{src="https://d33v4339jhl8k0.cloudfront.net/docs/assets/65980692ca9db2764426fd7e/images/67b5b01aec9e887910859b5c/file-0BBWKre6Tc.png" size="70" width="480" height="469" position="center" showCaption="false"}

**How to set a language for the embedded application**

Define `interface_language` in the query along with the appropriate language the interface will be in that language. e.g. `interface_language=en`

If no interface\_language is provided it will default to the first language passed in languages. So: `languages=nl%2cen` will have Dutch as the interface language

**Hide or unhide the the interface language selector**

Based on your preference Autoscriber can hide or unhide interface language selector. By default, the language selector is visible. Please send a request to customers\@autoscriber.com if you would like to hide the language selector.

[title] 🚀 Autoscriber v2.0 App Integration
[path] /

We are excited to announce that the integration of Autoscriber v2.0 will be available soon. Stay tuned for upcoming details, as we are eager to share more information about this innovative update that will enhance your users' experience.

If you are looking for the Autoscriber v1.0 integration documentation, you can navigate here: [**Introduction to v1.0 integration with Autoscriber**](docId\:edhlzYMVww-Qe0wHj2Klm)

The v2.0 upgrade will also be available on our Standalone App, and the details are included in this release article: [**🚀 Autoscriber v2.0 Release**](docId\:W1W0I3VmUqfetRnYKTx9m)

Here are some initial details of the v2.0 app:

### **New functionalities**

All existing features will remain available. In addition, we’re introducing several new features that you can use if you choose:

- *Voice & Text Assistant Widget*
   A widget will appear at the bottom of your screen, allowing you to easily add corrections or additions to your note, either by voice or by typing.
- *Ask the Assistant questions*
  After the note has been generated, you can also use the widget to ask clarifying questions about the consultation.

### **What’s changing on the technical side?**

In addition to the visible improvements, Autoscriber is also getting a technical upgrade. The new version of the app runs on a more stable backend.

What does this mean for you?

- Less chance of downtime when generating summaries
- A faster and more stable user experience

### **Output**

Linked to the backend improvements, the upgraded app's output is compliant with the FHIR Questionnaire and QuationnaireResponse standards.

What does this mean for you?

- More easily incorporating the generated notes with your EHR if you use FHIR standards
- No manual mapping of templates to fields within your EHR
- More granular data will now be made available, to be shared with other workflows within your EHR (orders etc.)

[title] EU AI Act Compliance
[path] Certifications and Compliance/

### The AI Act

The AI Act is the EU’s first regulatory framework on artificial intelligence (**AI**). The AI Act is designed to (i)
mitigate risks associated with AI, (ii) protect fundamental rights and (iii) ensure transparency and safety in
AI use.

### The Autoscriber App

Autoscriber has developed the Autoscriber App. The Autoscriber App allows doctors to record and
structure the conversations with their patients, while they keep focus on their patients. AI is used to (i)
convert the conversation to text and (ii) to create a summary of the conversation. This App is also deployed
integrated into electronic health records (EHRs).

### Autoscriber’s role under the AI Act

Autoscriber is classified as a provider of a general-purpose AI model. This means that Autoscriber must
comply with specific requirements under the AI Act to ensure safety, transparency, and ethical AI use.

### Compliance of Autoscriber

Autoscriber is fully compliant with its obligations under the AI Act. Autoscriber ensures a safe and ethical
use of AI by:

1. **AI training:** Autoscriber trains its team regularly on AI ethics and technical standards,
   including the use of common use AI like LLMs.
2. **Technical Documentation:** Autoscriber maintains detailed technical information on the
   model’s design, data processing methods, and security measures.
3. **Integration of the AI model into other AI systems:** Autoscriber makes information
   available for the integration of the AI model into other systems, which means that it
   clarifies the capabilities and limitations of the AI model.
4. **Transparency on Training Data:** Autoscriber collaborates with CAIRElab and LUMC for
   its training data. They can provide a high-level summary of the data sources used to
   train the AI model.
5. **Copyright Compliance:** Autoscriber has a policy to respect EU copyright laws.
6. **Cooperation with authorities:** Autoscriber is committed to cooperate with EU regulatory
   bodies to confirm compliance and supports audits or inspections if needed.
7. **Confidentiality:** Strict protocols are in place to handle confidential information. Patient
   conversations are anonymized and the audio records are securely deleted after
   processing.

### Your compliance

You as a user of the Autoscriber App, whether you are a healthcare professional or healthcare provider, are
classified as a deployer under the AI Act. Deployers have minimal obligations under the Act for
general-purpose AI models, as long as they adhere to general data protection and confidentiality standards.
By choosing Autoscriber’s solution, you can be confident you are using an AI tool compliant with the AI
Act. We do strongly recommend following an AI literacy course to be fully up to date on the use of AI.

### Conclusion

Autoscriber’s AI model is compliant with the AI Act, safe and ethical. Autosriber protects patient data and
assures healthcare providers of a secure, responsible AI tool in their practice.

[path] /

The **BoZ Model Processing Agreement** is the standard processing agreement developed by the **Brancheorganisaties Zorg (BoZ)** (Healthcare Sector Organisations) in the Netherlands – the partnership of the most important sector organisations in the Dutch healthcare sector – to ensure uniform and careful handling of personal data and medical data under the **GDPR**.

This model describes the rights and obligations between the **controller** – usually a healthcare institution – and the **processor**, such as Autoscriber, when personal data is processed on behalf of the controller.

By using the BoZ model, both parties comply with the privacy, security and accountability standards expected within the Dutch healthcare sector, including requirements that are in line with **NEN 7510** and other sector-specific data protection standards.

### **Purpose**

The BoZ Model Processing Agreement provides a clear and uniform framework for the careful processing of data within the healthcare sector.

The document describes how Autoscriber processes data on behalf of healthcare organisations and covers topics such as:

- The scope and purpose of data processing
- Security and confidentiality measures
- Management of sub-processors
- Cooperation in response to requests from data subjects
- Data breach notifications and incident handling
- Deletion and return of data upon termination

### **Our Commitment**

Autoscriber fully endorses the principles of the BoZ Model Processing Agreement.

We implement strict data protection measures within our platform and our business operations to ensure the confidentiality and integrity of all personal data and health data we process on behalf of our customers.

By offering this model, Autoscriber supports healthcare organisations in complying with the **GDPR** and meeting the highest standards in information security and patient privacy.

## How We Protect Our Customers’ Data

The following describes the measures Autoscriber takes to ensure our customers’ data is protected:

- We adhere to strict data minimisation policies e.g. audio is not stored.
- We employ end-to-end encryption for data at rest and in transit.
- We conduct regular penetration testing and vulnerability assessments.
- We use secure cloud infrastructure through our partnerships with Microsoft Azure and Google Cloud.
- Our staff undergoes rigorous training in data processing.

## Sub processors

We do not share data with any third parties and data is processed by sub processors only insofar as it is necessary for us to provide you with the service we offer.

We strive towards total transparency regarding your data, who processes your data and for what ends. Furthermore, we conduct regular supplier checks to ensure that our suppliers meet the minimum conditions according to ISO and other standard requirements. Please see our [Data Processing Addendum](docId\:KCCvpfgtYwwqGpXjFEZkD) for a detailed overview of our sub processors and their purpose.

## Training our models

For Autoscriber to improve on services delivered, the training of models is necessary. We will, however, never use customer data without explicit consent. In case you would like us to use your data to finetune our models to your use case, we will conclude a separate data-processing agreement outside of our standard contract.

In short, unless you request otherwise, your data is never used to train our models and is never stored longer than you wish.

## Cloud Security and Compliance

Autoscriber makes use of a combination of Azure and GCP, which each have their relevant security standards, which are described below.

### Microsoft Azure Security and Compliance:

**Azure's Compliance Portfolio:**

Azure has one of the largest portfolios of compliance certifications, including key data privacy and security certifications such as ISO/IEC 27001, ISO/IEC 27018, CSA STAR, and most importantly, General Data Protection Regulation (GDPR) compliance. This provides legal assurance that the data protection principles set forth in the GDPR are being followed.

**Data encryption and protection:**

Azure encrypts data both at rest and in transit using industry-standard encryption techniques (AES-256 for data at rest and TLS for data in transit). This ensures that even if data is not pseudonymised, it remains secure through layers of encryption and protected from unauthorised access.

**Azure Security Controls:**

The platform includes Azure Security Center, which provides advanced threat detection, security monitoring, and automated remediation capabilities. These tools help continuously monitor and secure data processing environments, ensuring protection against emerging threats.

### Google Cloud Platform (GCP) Security and Compliance:

**GCP's Compliance Standards:**

GCP is also certified against key international standards such as ISO/IEC 27001, ISO/IEC 27018, SOC 1/2/3 and is fully GDPR compliant. GCP offers tools and services such as Cloud Data Loss Prevention (DLP) to ensure sensitive data is handled securely.

**Encryption as Standard:**

Like Azure, GCP encrypts data in transit and at rest with robust encryption technologies. Data stored on Google Cloud is protected by industry-leading encryption algorithms (AES-256), and all communications between Google services and between data centers are encrypted with Transport Layer Security (TLS).

**Data Sovereignty and Privacy Control:**

GCP provides granular control over where data is stored geographically (within the EU or other regions), ensuring compliance with GDPR data storage requirements. Google also maintains advanced logging and audit trails, allowing companies to monitor access and activity on their data.

## How we ensure secure data processing even without pseudonymisation:

1. **Strong data encryption:** Encryption is a core part of our security strategy and provides a strong level of protection. With encryption at rest and in transit, sensitive data remains unreadable to unauthorised parties, even in the event of a data breach. This provides a significant layer of protection for personal data.
2. **Data at rest:** Both Azure and GCP encrypt all data at rest by default. This means that even if a storage medium is compromised, the data remains unreadable without the associated decryption keys, which are strictly managed with access controls.
3. **Data in transit:** Data transferred between Autoscriber systems and external systems or between cloud services is encrypted using strong cryptographic protocols (TLS 1.2 or later), which protects against man-in-the-middle attacks.
4. **Access Control and Monitoring:** Both Azure and GCP implement role-based access control (RBAC), which ensures that only authorised individuals can access specific data based on the principle of least privilege. Access logs and auditing mechanisms provide a comprehensive view of who has accessed or modified data, ensuring traceability and accountability.
5. **Identity and Access Management (IAM):** We use IAM features across both platforms to tightly control who has access to sensitive data. Access is limited to those who need it for their role, and access requests are continuously logged and audited.
6. **Monitoring and Threat Detection: **Both platforms offer advanced monitoring tools such as Azure Monitor and Google Cloud Security Command Center. These systems use machine learning to detect anomalies or potential threats in real time, enabling proactive defense against security incidents.
7. **Data residency and local data storage:** For companies operating in Europe or needing to comply with the GDPR, where data is stored plays an important role. Both Azure and GCP offer the ability to store data within specific geographic regions or countries, ensuring strict compliance with data localization requirements under the GDPR (such as the requirement to keep EU citizen data within the EU).

### **Why these guarantees are sufficient: **

Although in certain cases data is not pseudonymised, the combination of encryption, access control, monitoring and compliance certifications provides a high level of assurance that personal data is processed securely and in accordance with the GDPR.

### **Data protection by design and default:**

Both cloud providers implement Data Protection by Design and Default, as required by GDPR Article 25. This means that Azure and GCP integrate data protection principles into their core infrastructure, ensuring that security is not an afterthought, but a primary consideration in all data processing activities.

### **Limiting data leaks:**

In the unlikely event of a data breach, both Azure and GCP have robust incident response processes and tools to quickly detect, analyze, and contain breaches. With encryption and access controls, even in the event of a breach, exposure of personal data is minimised, significantly reducing the risk to data subjects.

### **Legal guarantees and processing agreements:**

Both Microsoft and Google offer legally binding data processing agreements (DPAs) that meet GDPR requirements. These agreements define the roles of data controllers and processors, which ensures that data is handled in accordance with GDPR standards. In addition, these companies ensure that data subject rights, such as the right to access, rectify or delete personal data, are respected.

[path] Websocket API Integration/Steps to integrate/

In order to utilise the Autoscriebr APIs, you need an API Key.

To acquire one, please log a request with integrations\@autoscriber.com.

[title] Steps to integrate
[path] Websocket API Integration/

The below steps need to be followed to integrate the Autoscriber 2.0 Widget Assistant into your platform:

1. [Create a conversation](docId\:NF-ieSqwYJD4hCXDhMOoR)

[title] v2.0 Widget API Integration Intro
[path] Websocket API Integration/

These articles explain the context and steps to follow to successfully integrate the Autoscriber Widget v2.0 into your platform.

:::hint{type="info"}
Since this method provides the APIs and does **not** involve embedding the widget via an iframe, you are required to develop your own UI/UX and implement an audio recorder.

We also offer a Javascript library that automatically creates the chat interface including recorder within your webapp.

Upon delivering this integration, the assistant will be able to provide the following features:

- Answering medical questions
- Answering questions about the active clinical context (e.g. patient)
- Supports text and voice messages
- Transcribe consultations
- Fill out questionnaires (used to be called summarization templates)
- Edit questionnaires by voice (and fhir context)
- Navigate the EHR by voice
- And much more (as we support MCP servers)

To start with the integration, go to the next article, [Steps to integrate](docId\:cmCk8v4OyMmpvvNHameGJ).

[title] 🚀 Autoscriber v2.0 App Integration
[path] /

We are excited to announce that the integration of Autoscriber v2.0 via API is now available for a select few partners.

The v2.0 upgrade is also be available on our Standalone App, and the details are included in this release article: [🚀 Autoscriber v2.0 Release](docId\:PHbX2vNhKpDjeoEUulavG)

Linked to the backend improvements, the upgraded app's output is comlpiant with the FHIR Questionnaire and QuationnaireResponse standards.

What does this mean for you?

- More easily incorporating the generated notes with your EHR if you use FHIR standards
- No manual mapping of templates to fields within your EHR
- More granular data will now be made available, to be shared with other workflows within your EHR (orders etc.)

### User Experience

Some images to give you a sneak peak of what the new integrated app will look like, in the embedded version, can be seen below:

[title] Connect to Socket
[path] Websocket API Integration/Steps to integrate/

Once the session is created in [Create a conversation](docId\:NF-ieSqwYJD4hCXDhMOoR) , the JWT token can be using to open a secure WebSocket connection (WSS):

>

[title] Sending Audio
[path] Websocket API Integration/Steps to integrate/

The expected audio type for Autoscriber to process is:

- Base64 encoded audio/pcm
- Format: 16-bit PCM, little-endian
- Sample Rate: 16,000 Hz
- Channels: 1 (mono)

The recommended audio chunk interval is:

- Send a chunk every 10 seconds

For better transcription quality, Autoscriber doesn't transcribe every chunk individually - the chunks are concatenated and return results intermediately per X chunks (the value of X is context dependent).

[title] Messaging Protocol
[path] Websocket API Integration/Steps to integrate/

jsonrpc is used as a messaging protocol for the socket messages.

To get more information on this messaging protocol, go to *https\://www\.jsonrpc.org/specification*

### How can I generate a patient letter with Autoscriber?

With Autoscriber, it is possible to generate not only a summary for your own specialty but also a summary for the patient. Based on the transcript of the consultation, Autoscriber creates a summary in simplified Dutch or English. Just like the summary for your specialty, this summary can be copied and pasted to a destination of your choice. For instance, you can paste the text into a Word document, print it, and hand it to the patient. To generate a patient letter, follow these steps: Nothing has changed in the configuration for recording the consultation;

1. You can start Autoscriber and the consultation as you normally would
2. Once the recording is complete and the summary has been generated, you will find the additional option 'Generate letter' next to the 'Copy' button:
3. When you select the 'Generate letter' option, you can choose to generate the letter in simplified English or Dutch.

1. Instruct the speakers not to talk over each other
2. Clearly name who is participating in the conversation and what role they have when starting the recording.

We recommend following the setup below as closely as possible;

1. Connect an external microphone to your laptop, PC, or tablet (preferably a headset/earbuds)
2. Start Autoscriber on your laptop, PC, or tablet, selecting the internal microphone
3. Start the video call on your laptop, PC, or tablet, selecting the external microphone

### How do I generate a note in a language that is different from the conversation language?

It is possible to use Autoscriber to translate the consultation into a note in another language.

For example, when a consultation takes place in Dutch, but you would like to leave an English note.

Note: Autoscriber currently supports only a few languages. For the translation function, both the spoken language and the language in which the consultation needs to be summarized must be available within Autoscriber.

To generate a summary in a different language than the spoken consultation, proceed as follows;

1. Select the language in which the conversation takes place
2. Select the language in which the summary should be written

### How can I use Autoscriber during mobile phone conversations?

Autoscriber is fully compatible with mobile devices. To utilize Autoscriber on your Android or Apple device, there is no need to download an application. Simply open your preferred browser (we recommend Chrome) and navigate to: https\://app.autoscriber.com. After logging in, we advise you to conduct a microphone test. If the test is successful, you are ready to begin recording conversations.

We recommend following the setup below as much as possible;
